How Buildstreambase handles enquiry details, client contacts and grant review records.

Information we collect
We receive contact details and enquiry content submitted through the form; correspondence and appointment information; client representatives’ details; and, after engagement, records needed for the agreed grant expenditure review. Those records may contain employee, supplier and director information. Please do not submit identity numbers, bank statements or payroll records through the public form.
Purpose and lawful handling
We use information to answer enquiries, prepare quotes, perform contracts, protect our legitimate business interests, meet professional and legal duties, secure records and resolve disputes. Where consent is the appropriate basis, it may be withdrawn without affecting earlier lawful processing.
Sharing and international transfers
Information may be shared with vetted hosting, email, secure file-transfer and professional service providers; regulators or authorities where law requires; and specialists authorised by the client. Some providers may process information outside South Africa. We use contractual safeguards and assess whether recipients offer suitable protection.
Retention and security
Unsuccessful enquiry records are generally deleted after 12 months. Engagement records and working papers are normally retained for seven years after completion, unless law, contract or a dispute requires longer. We use access controls, encryption where appropriate, backups and limited personnel access, but no transmission method is entirely risk-free.
Your rights
Subject to applicable law, you may request access to or correction of your personal information, object to certain processing, ask for deletion where retention is not required, or complain to South Africa’s Information Regulator. We may need to verify identity before acting.
